Best practice – what to expect when facing a Workday hr solution integration with a local payroll application

It is a fact, and it cannot be avoided. Cloud-based human – resources management systems like Workday are here to stay. Therefore, there is a high probability that you as a HR manager will need to manage an integration between your local HR payroll platform and Workday HR solution. What should you do?

Watch out for the main traps you could run into when dealing with such a process:

  • Make sure the interface between the two HR platforms is complete. There may be challenges with data mapping, system compatibility, and establishing data flow between the two-systems. A partial interface will generate multiple data input in various tools for managing HR processes which could get cumbersome and frustrating. One single input is the ideal set-up.
  • Don’t fall in the extra costs trap: you need to prepare for a sound analysis & comparison of the price – quality ratio each type of customization will generate. Usually is more cost effective for companies to fit in the Workday standards and not the other way around. Most of the times, the local payroll solution may require customization to integrate with Workday and not vice-versa. Demand flexible and transparency from your local payroll solution provider from this respect.
  • There will be concerns around security, expect them. There is a risk of data breaches or unauthorized access to sensitive information. It is essential to ensure that both systems have adequate security measures in place to protect employee data.
  • Never underestimate the time and resources required to manage such an integration. Moreover, keep an eye on indirect costs and lost opportunities that you will need to deal with in your HR department and not only.
  • Compliance, compliance, compliance: in Romania payroll legislation may get overburdening and changes may be quite dynamic, therefore make sure your integration process covers data privacy regulations, tax laws and it doesn’t interfere with the accuracy of your payroll.
  • It’s not about once done and get it over with. May sound like a headache but it does require ongoing maintenance. Once the integration is complete, it is important to ensure that both systems remain in sync and that any updates or changes to one system are reflected in the other. This may require ongoing maintenance and monitoring to ensure that the integration remains reliable and effective.
